Hello friends,

best regards to all of you. As I mentioned in one of my first blog posts, I had worked in IT support and then due to company rebuild had to search for another job. This time I would like to share my work experience with you by providing short examples how real communication with German clients looks like.

Below you will find 10 different cases and brief messages sent via MS Teams to my clients. This makes you aware what the issue we have talked about. At the end of each message I will also add few comments. So, let’s move ahead.

Case 1: User was unable to access SharePoint website.

Guten Morgen Moritz. Ich habe eine Rückmeldung zu SharePoint Problem erhalten. In diesem Fall muss man sich mit dem SharePoint Besitzer direkt in Verbindung setzen. Falls deine Kollegen den Zugriff bereits haben, bitte frage sie, ob der Besitzer bekannt ist. Vielen Dank für deine Aufmerksamkeit.

sich mit jemandem in Verbindung setzen – to get in touch with someone, to contact someone. The adverb “mit” always requires Dativ, e.g. mit mir, dir, ihm etc.

Case 2: Software reinstallation fails

Ich sehe, dass dieses Paket sich nicht entfernen lässt. Hast du Zugriff via ITSD angefordert? Wie war die Requestnummer?

etwas sich (nicht)(verb) lassen – something can be done or can’t be done. In our example sich nicht entfernen lassen. – the package can’t be removed. Opposite verb installieren – to install. Dieses Paket lässt sich (nicht) installieren.

Please note, “dass” conjunction changes word order in a sentence. Instead of “dieses Paket lässt sich nicht entfernen”, the above-given sentence got a new shape: ...dass dieses Paket sich nicht entfernen lässt.

Case 3: OneDrive issue

Guten Tag Markus. Ich schreibe dir wegen OneDrive Störung, Ticketnummer INC…. Das Problem würde ich per Fernwartung ermitteln. Bitte um Bescheid wann das machbar wäre. Vielen Dank im Voraus.

Ich schreibe dir wegen …. is a good start of written conversation with clients. Preposition “wegen” by default requires Genitiv case. Still in colloquial speech, it is often used with Dative case, for example “wegen dem Wetter” (because of the weather).

Case 4: Software issue

Es ist schon installiert, man braucht derzeit keine Schritte. Bitte den Rechner von zu Hause testen. Du kannst mit deiner Arbeit fortsetzen. Ich warte auf die Ergebnisse.

In that case the software was installed, hence no additional action was required.

mit etwas (Dativ) fortsetzen – to proceed (to continue) with something. Mit der Hausaufgabe, dem Lesen, dem Prozess fortsetzen – to proceed with the homework, reading, process.

Verb “fortsetzen” is also utilized without preposition mit, e.g. den Anruf, den Weg fortsetzen – to continue the call, the way. Everything depends on context.

Case 5: Laptop issue

Guten Morgen Till. Ich habe die Info von lokalem Support erhalten, dass das Problem behoben ist. Das Ticket lasse ich nun schließen. Schönen Tag wünsche ich dir.

etwas schließen – to close something (with Akkusativ). Die Tür, das Fenster, die Augen – to close the door, window, eyes. It is worth mentioning such nice expression as “Frieden schließen” – to make peace.

Case 6: Account login issue

Hallo Klaus,

ich entschuldige mich für die Störung. Es geht um Anmeldeproblem bei deiner Mitarbeiterin Beate. Ich habe ihr Kennwort vor Kurzem zurückgesetzt, leider war die Handynummer nicht aktuell. Könntest du bitte dieses Kennwort mit ihr direkt teilen?

Ich habe ihr Kennwort vor Kurzem zurückgesetzt – I recently reset her password.

etwas zurücksetzen (again our dear Akkusativ:)) – to reset, set back something. Das Kennwort is the password. Germans often apply English version of noun das Password.

Case 7: Printer issue

Hallo Maria. Ich schreibe dir wegen Druckerstörung, Ticketnummer INC….. Könntest du mir bitte Bescheid geben, ob es sich hier um einen Drucker von JasBox handelt? Wieviel Benutzer sind betroffen? Was passiert wenn man versucht irgendwelches Dokument zu drucken? Gibt es irgendwelche Fehlermeldung? Vielen Dank im Voraus.

Gibt es irgendwelche Fehlermeldung? – Is there any error message? This noun is the most often used in technical support because it allows you to recognize the right symptom and proceed with trobleshooting “mit der Fehlerbehebung fortsetzen” -> see Case 4 above:)

Case 8: Laptop hardware issue

Hallo Thomas. Ich habe eine Frage zu TASKXYZ. Hat der Kunde ein neues Gerät erhalten oder wird noch etwas am alten Rechner gemacht? Vielen Dank.

In this scenario I asked local support to provide more details, e.g. current state.

etwas erhalten or bekommen (Akkusativ as well) – to get, receive something. For instance, das neue Buch, die wichtige Aufgabe erhalten – to receive the new book, important task.

Case 9: Account login fails

Hallo Jutta, betreffs deines Kontos, sehe ich dass das Kennwort gestern geändert war. Hast du das selbst gemacht? Aktuell muss man es bei der Erstanmeldung wieder neu einstellen. Vielen Dank im Voraus.

Betreffs deines Kontos – regarding your account… Betreffs is a preposition with Genitiv, that’s why das Konto becomes des Kontos.

Another examples are, betreffs deiner Schwester, seines Urlaubs, meines Geldes – regarding your sister, his vacation, my money…

After that we should put a verb instead of subject, that means betreffs deines Kontos, sehe ich and not betreffs deines Kontos, ich sehe (False)

Nice alternative for “Vielen Dank für deine/Ihre Aufmerksamkeit” is “Vielen Dank im Voraus“. – Thank you in advance. Try to memorize it.

Case 10: OneDrive issue fixed

OneDrive scheint nun zu funktionieren, bitte den Rechner neustarten und das Verhalten testen. Vor dem Neustart alle nicht gespeicherten Daten speichern und fortsetzen.

etwas scheint zu funktionieren (or any other verb) – something seems to be working. It is similar to “I see it is working, but I am not 100% sure. Kindly check it.”

Dieser Motor scheint nun zu laufen. – This motor seems to be running now.

Dieses Bild scheint wieder zu glänzen wie zuvor. – This picture seems to shine again as before.

As shown above the list of examples is plenty and you can utilize them anytime in any context, be it speaking or writing. The essential point remains unchanged: without practice no achievements are possible.

Therefore, my dear friends, I wish you all continious step-by-step learning and small positive changes. Vielen Dank für Ihre Aufmerksamkeit.

Lasst uns mit unserem deutschen Projekt fortsetzen.
